EXHIBITOR APPLICATION

FOOD VENDOR APPLICATION

Vendor Activation. The vendor receives a 10’x10’ or 10’x20’ activation footprint onsite. Vendor tents, tables, chairs, and power requirements are the responsibility and expense of the vendor. The vendor package includes a maximum of four (4) non-transferrable worker passes. These passes are for sports only (concerts not included). Upgraded passes to get access to the Concert Bowl are available for an additional charge.

Vendor Fee. The rental fee is due upon confirmation of vendor application. All vendor fees are subject to GST (GST # 86640 3173 RT0001). Accepted methods of payment are cheque or wire transfer. A $50 handling fee will be levied to any applications where cheques are returned as NSF. Your rental fee is NON-REFUNDABLE, regardless of booth placement, sales or competing vendors.

Insurance. Proof of insurance ($2,000,000.00 commercial general liability insurance coverage) is due upon confirmation of vendor application and execution of vendor agreement. Live Nation Worldwide, Inc., Wet Ape Ltd., Center of Gravity Sports and Music Festival Inc., City of Kelowna, and their landlords or licensors, if any, and their respective parents, members, partners, affiliates, divisions and subsidiaries, and their respective officers, directors, and employees must be named as additional insured on a primary basis for acts arising out of your negligence.

Booths. Booths are the sole responsibility of the vendor, including merchandise and/or equipment and for all costs and expenses necessary to operate the activation. This includes but is not limited to: costs of all labour, materials, equipment, supplies, taxes, and any other items. Center of Gravity is not responsible for loss or theft of merchandise. Lock and secure your belongings and merchandise at night. The area is generally secure overnight. If a vendor requires additional security, the security provider can provide it at a cost to the vendor. Please inquire for current rates and deadlines.

Weather. Center of Gravity will happen on rain or shine. Center of Gravity is not responsible for loss or damage to merchandise or property due to weather.

Liability. Live Nation Worldwide, Inc., Wet Ape Ltd., and Center of Gravity Sports and Music Festival Inc. assume no responsibility for, and will not be liable for, any lost, stolen or misplaced merchandise or equipment at the event; any loss, damage, injury or death to persons or property that may be sustained by reason of entry upon the venue and/or the occupancy of vendor’s booth space; and any damages or expenses you may incur should any concert or event be delayed or cancelled.

Searches. All vendors are subject to search upon entry; as well as, random searches during the vendor’s time on site. Searches may include a drug dog.

Setup / Teardown Hours. Load in is between 8am and 1pm on July 28th. Any setup on the day of show must be completed by one hour prior to doors. Vendors will not be able to load out until after 7pm on July 30th. All vehicles, unless specifically approved as part of the vendor or sponsor activation, will be required to leave the site immediately after load in.

Operating Hours. Booths must be open for all vending hours. All activations must be in place and cars removed from site no later than one hours before doors to the event. Door times are 9am on July 29th and July 30th. After all patrons have exited the site, vendors can close their booths for the evening or begin their teardown on the final day.

Supplies. Bring all necessary materials and equipment, including any tables, chairs, displays, tarps, lock boxes. Please be sure to have adequate merchandise and supplies for the expected crowds through the event.

Roaming Vendors. No distribution, canvassing, flyers, nor vending of any kind may be done by roaming through the venue / festival grounds.

Prohibited Items. Vendors are not allowed to sell the following products or services:

  •      The use of the Center of Gravity name or trademarks as well as individual artists’ likeness in any way is strictly prohibited
  •      Food or beverages
  •      Any clothing item related to any musical artist
  •      Alcohol
  •      Lighters
  •      Generators
  •      Guns, knives, weapons of any kind
  •      Stickers
  •      Umbrellas
  •      “Unofficial” merchandise

Vendors must meet and follow all applicable laws, including but not limited to, City of Kelowna guidelines and bylaws. Center of Gravity vendor rules are subject to change and revision.

Products. All menu items including pricing must be approved by Center of Gravity. The festival has exclusive deals for certain products or product categories (e.g. Only Coca-Cola products can be sold on site). The vendor must post prices in a legible manner and in a visible place within/on the truck. The sale of all alcoholic beverages of any kind is strictly prohibited. Consumption of alcoholic beverages by your truck employees and/or volunteers is also prohibited.

Preparation. Each truck operator is solely responsible for all of his / her own product or equipment, and for all costs and expenses necessary to operate the food truck, including, but not limited to, costs of all labor, materials, equipment, supplies, taxes and any other items. Vendors must meet and follow all applicable laws. You are required to obtain and display all necessary permits and / or licenses. Health applications and insurance documents must be received by July 15th, 2017.

Waste. Vendors must provide trash & recycling receptacles for waste generated by your Truck. Vendors will be responsible for the removal of all their waste including but not limited to garbage, recycling, organics and grease.

  • Tier 1 (10’x20′) – $950 + GST
  • Tier 2 (10’x10′) – $500 + GST

Food Vendor – Village:

  • Tier 1 (15’x30′) – $1,350 + GST
  • Tier 2 (15’x15′) – $1,050 + GST

Food Vendors – Concert Bowl:

  • Tier 1 (15’x30′) – $1,000 + GST
  • Tier 2 (15’x15′) – $850 + GST

Note: there will be no daytime events on Friday. Gates will open at 4:30pm for the concert.
